PLEASE READ THE TERMS AND CONDITIONS. THEY OUTLINE OUR LIABILITY AND THE CONDITIONS UNDER WHICH YOUR TOUR WILL OPERATE. ACCEPTANCE OF THE TOUR DOCUMENTS REPRESENT AN ACCEPTANCE BY THE GUEST OF THE TERMS AND CONDITIONS AS FOLLOW:
- RESERVATIONS
A deposit of 10% – 20 % (ten to twenty per cent) of the total price on overland tours is payable at the time of making your reservation. The balance of the fare is due roughly 45 days prior to departure or a date determined when booking your tour. We reserve the right to cancel a reservation where the total fare has not been paid by the due date. Reservations will be considered as firm bookings as soon as we receive the deposit subject to full payment received on the due date. We are bonded with Southern Africa Tourism Service Association (SATSA) that covers deposits and pre-payments made in the unlikely event that we are placed under sequestration / liquidation and/ or unable to perform our services due to financial constraints.
- GUARANTEED DEPARTURES
Except where otherwise stated, the tour will operate irrespectively of the number of passengers once a departure is officially confirmed to you with a voucher or similar document. We reserve the right to utilise different sizes of vehicles depending on the number of passengers.
- HEALTH REQUIREMENTS
No inoculations or vaccinations are required at the time of going to print, but we recommend that you check with your doctor or local health department. An anti-malaria drug is strongly recommended in the extreme northeasterly section of South Africa and neighbouring countries, please consult your doctor and/or check with us. People arriving in South Africa from a yellow fever zone must have a valid international yellow fever inoculation certificate – even visiting a yellow fever zone as a stop-over!
- PASSPORT
Please check with your local travel agent regarding requirements for passports and visas or contact us with the following information: Your country of residence, your nationality and which country your passport was issued in. If you need to obtain a visa before arriving in South Africa and you are joining the SCMD and/or SCDB tour/s, please ensure that your visa is valid for multi-entry into South Africa and also check your visa requirements for Swaziland and Lesotho as we traverse through these countries. Please ensure that your passport has two open pages side by side when arriving in South Africa and is valid for at least 6 months after the time of travel.
- LUGGAGE
Luggage is limited to one medium sized suitcase, preferably the soft type, with a maximum weight of 23 kg per person and one soft carry-on piece of luggage excluding ladies handbags, etc. Please make prior arrangements with us if this maximum is likely to be exceeded.
- INSURANCE CHARGES
We strongly recommend that you insure yourself against possible cancellation, personal accident, medical expenses, loss of luggage etc. Please contact us for more information and/or rates.
CANCELLATION CHARGES
The following cancellation charges will apply in respect of travel arrangements:
More than 30 days – only administration, bank and other costs made on behalf of the guest may be charged (Subject to hotel cancellation policy).
From 29 to 21 days prior to departure – 25% of tour price (Subject to hotel cancellation policy)
From 20 to 14 days prior to departure – 50% of tour price (Subject to hotel cancellation policy)
Less than 14 days prior to departure – between 80 and 90% of tour price (Subject to cancellation policies of the hotels used)
Note: A no-show (not present at collection point at the official time of departure) attract full 100% cancellation penalty and flight cancellation refunds are subject to the airline policy
- LIABILITY
We reserve the right to make, with or without notice, changes to vehicles, accommodation, meals, schedule, sightseeing or route without liability to the passenger due to adverse weather conditions, closure of roads, hotels, or any other reason out of our control.
- RESPONSIBILITY
We give notice that arrangements for transport, conveyance and accommodation are made upon the express condition that, although it is our explicit endeavours to conduct our services to the best of our abilities, we accept no responsibility of liability in respect of either person or property for injury, damage, loss, accident, delay or irregularities which may be occasioned either by reason of any defect in any vehicle or through the acts or defaults of any company or persons engaged in conveying the passengers or carrying out arrangements of the tour, therewith or any accommodation, establishment or servant. In the unlikely event of and accident involving our vehicles, we hold an insurance to cover emergency evacuation to the nearest hospital and initial emergency medical care.
- Flight Bookings
You agree that we book flights for you / on your behalf with the understanding that we are not liable for any loss, financial or otherwise, but not limited to you missing any onward connection flights and subsequent services as a result of delays or cancellations of flights or services booked by us. We urge you to insure yourselves against such incidents.
